We are looking for an Executive Assistant to perform a variety of administrative tasks to our executive members. You will manage mostly business related tasks such as creating reports, organizing travel and accommodation, taking minutes, and other organizational tasks. You should be well-organized, have great time management skills, and be able to act without guidance.
The Account Executive should contribute to the efficiency of our business by providing personalized and timely support to executive members.
Responsibilities:
Manage executives’ calendars and set up meetings.
Accurately recording minutes from meetings.
Greeting visitors and deciding if they should be able to meet with executives.
Act as the point of contact among executives, employees, clients and partners.
Reading and analyzing incoming memos, submissions, and distributing them as needed.
Manage information flow in a timely and accurate manner.
Make travel and accommodation arrangements for executives.
Act as an office manager by keeping up with office supply inventory.
Preparing financial statements, reports, memos, invoices letters, and other documents.
Answering phones and routing calls to the correct person or taking messages.
Organize and maintain the office filing system.
Filing and retrieving corporate records, documents, and reports.
Handling basic bookkeeping tasks.
Provide general administrative support.
Requirements and Skills:
Bachelor’s Degree in Office Administration or any related course.
Work experience as an Executive Assistant or similar role.
Outstanding organizational and time management skills.
Able to meet deadlines in a fast-paced, quickly changing environment.
Excellent verbal and written communications skills.
Ability to organize a daily workload by priorities.
Excellent MS Office knowledge.
Discretion and confidentiality.
