  • Key Duties and Responsibilities:

    Bookkeeping

    • Day to day bookkeeping using Xero.

    • Daily inputting of accounts receivable invoices

    • Preparing ABA files for accounts payable

    • Filing of inputted invoices

    • Ensuring all Xero files are reconciled to the bank statements

    Payroll & Contractor / Employee HR Administration

    • Ensuring all contractor employment details are entered in TRIS for new starters

    • Inputting of contractor hours to Xero

    • Sending out remittance advice and payslips

    • Paying superannuation

    • Ensuring all contractors have tax file declarations filled out before commencing work

    • Ensuring all contractors have filled out superannuation choice forms before commencing work

    • Ensuring all contractors have signed their contracts before starting work

    • Ensuring contractors with their own companies have relevant insurances

    • Ensuring all employee cards, files and TRIS folders are up to date and correct

    Cash flow Management

    • Invoicing clients fortnightly

    • Chasing debtors monthly and issuing statement of accounts

    • Keeping track of cash flow and creating cash flow forecasts as and when required

    Credit Cards / Expenses

    • Reconciliation of credit card expenditure

    • Payment of credit cards on time to ensure charges are not incurred

    • Organisation of receipts

    • Checking expenses forms and inputting them into Xero for payment

    Record-Keeping

    • Ensuring all accounts and TRIS files referring to contractors are up to date

    • Ensuring Insurances such as Workers Comp, PL and PI are up to date, paid and recorded correctly in the company's files

    Financial Reporting

    • Assisting with the completion of PAYG Installments, BAS and ASIC reports

    • Assisting with OSR calculations annually

    • EOFY reporting

    • Preparation of annual payment summaries and submission of electronic files to ATO

    • Assisting with financial reporting to clients and contractors

    Contracts / HR Administration

    • Preparation of employee contracts, files and / Xero electronic files

    • Contract extensions as and when required

    • Calculation of contractor rates of pay and profit margin

    • Providing support as required to both direct and indirect personnel

    Personal Assistant

    • Support managing director in day to day operation of business

    • Work with suppliers and staff members to achieve agreed outcomes

    • Planning and organising travel and meetings

    • General administration and document control

    • Leading internal projects

    Must Haves:

    • At least 5 years of work experience in general accounting, payroll, bookkeeping or relevant role

    • Strong English communication skills both written and verbal

    • Tech savvy and knowledgeable in MYOB and XERO

    • Familiarity in BAS, Superannuation and End of Financial Year (EOFY) reporting

    • Can work with minimum supervision, has high attention to detail and proactive

    Nice to Haves:

    • Bachelor's degree holder or equivalent

    • Experience working in a recruitment industry

    Home Office Requirements:
