Duties and Responsibilities:
• Answer calls and provide customer service solutions to clients.
• Follow up clients regarding documentation for the production team.
• Return standard administration queries to clients in a timely manner.
• Keep clients updated on the status of their submissions via call and email.
• File and manage client correspondence and emails properly.
• Manage the clients’ accounting inboxes and respond to general queries.
• Collect the clients’ invoices, bank statements, and suppliers’ statements from their accounting inboxes on a weekly basis.
• Send out various emails after the client has reviewed the content and approved for dispatch.
• Liaise with clients regarding missing information.
• Prepare and distribute invoices to clients
• Follow up on overdue invoices weekly or monthly.
• Manage clients’ payments of invoices in Xero.
• Make sure all the team members’ timesheets are up to date and entered properly.
• Set up working papers for clients on BGL CAS 360 and Now Infinity.
• Save client data in the system, e.g., Xero, XPM, and other cloud software.
• Create jobs in the XPM software to track production.
• Maintain XPM daily – e.g., adding and removing jobs coming in and going out.
• Schedule appointments for all team members.
• Drive the daily huddle with the relevant teams.
• Send out completed jobs once the client has given authorization.
• Create new and maintain client company folders on Google drive.
• Other ad hoc tasks.
Qualifications:
• Must have a bachelor’s degree in Accountancy, Finance, Business, Management or equivalent.
• Has at least 1 to 2 years of administrator related experience.
• Must have Intermediate or Advanced Microsoft Office skills, e.g., Outlook, Excel, Word, etc.
• Knowledgeable in Accounting software or similar, e.g., Xero, XPM, MYOB, BGL CAS 360, Now Infinity, etc.
• Has keen attention to detail and is deadline oriented.
• Has solid verbal and written communication skills.
• Can communicate complex information in a clear and concise manner and with all levels of management.
• Has experience of working directly with senior leaders.
• Can work autonomously and proactively, and function well in a team-oriented environment and multi-task under pressure.
• Must have a collaborative, team-focused mindset, and a flexible approach to work.
• Has outstanding time management, problem-solving, and organizational skills gained through a high-volume environment with competing demands.
• Must have initiative, self-motivation, and a commitment to providing highly responsive customer service.
• Willing to be assigned to Clark, Pampanga.

Requirements
