  • Key Responsibilities/Duties:

    • Maintain an organised and clean inbox, forwarding emails to necessary

    • employees

    • Maintain procedures outlined in AceNet and MaintenanceNet and keep current.

    • Entering accounts payable via BuildXact and finalising in Xero

    • Sending out quote requests to multiple companies as outlined in AceNet.

    • Formitize - uploading of Site Reports daily and transferring them into the client's system.

    • Uploading reports daily for end of month invoicing.

    • To undertake a variety of tasks, both skilled and semi-skilled, or carry out some other task that is not specifically within your traditional role provided the task is within your core skill competencies and legal requirements.

    Core Skills:

    • Enthusiastic, engaging person with a minimum three (3) years’ experience in admin/customer service in a small to medium-sized company.

    • Time Management Skills.

    • High level of attention to detail

    • Knowledge of and proficiency in automated financial and accounting reporting systems.

    • Able to demonstrate a high level of experience and literacy in computer software

    • applications such as Google applications (ie. Google Docs, Google Sheets, Gmail).

    • Able to demonstrate a high level of experience and literacy in using the internet and sending and receiving email.

    • Ability to remain calm under pressure and to meet multiple tasks and deadlines.

    • Personally, well organized and capable of establishing, keeping and maintaining a clean workplace.

    • Maturity and enthusiasm for day-to-day work

    Key Performance Indicators:

    • Quote requests to be sent out within 1 day of receiving to respective companies for quotes.

    • Following up with companies after 3 days if we have not heard from them.

    • Entering Invoices into BuildXact within 2 day of receiving, if unsure of project to contact respective site supervisor by Hangouts to confirm.
