    Duties and Responsibilities:

    • Receive applications from prospective clients and verify if requirements are complete

    • Communicate with tenancy applicants and provided references

    • Screen prospective tenants in databases

    • Schedule routine inspections and provide advisory of inspection plan

    • Receive repair and maintenance requests

    • Liaise or make follow ups with tradespeople or vendors

    • Produce and issue lease renewals

    • Monitor invoices and upload in PropertyMe

    • Ensure communications are all responded on a timely manner

    • Daily coordination of completed tasks with property manager

    • Responding to email from Tenants/Landlords which comes to the client's common email

    • Coordinate with the client's overseas Property Manager and Melbourne Trust Accountant

    • Answer calls related to property management and divert sales and other calls to relevant extensions

    • Create residential and commercial lease agreements

    • Create residential and commercial Managing authorities

    • Other related documentation for residential and commercial property management

    • Work on insurance quotes, claims and update tenants and landlords

    • Support and prepare VCAT documentations

    Qualifications and Experience:

    • Minimum of 2 years of experience working as a Property Management Assistant in the Australian Real Estate industry

    • Experience in working as a Virtual Assistant (either solely or part of a team)

    • Skilled in using Microsoft Office, Google Suite, and Customer Relationship Management (CRM) software

    • Experience in using PropertyMe

    • Strong written and verbal English communication skills

    • Ability to achieve deadlines and show good attention to details

    • Ideally someone who previously worked on scheduling of routine and open inspections, advertising listings, maintenance and repairs and monitoring invoices

    • Knowledge and experience with Eagle CRM and Price Finder and WhatsApp would be nice to have
