  • Key Duties and Responsibilities:

    1. Social Media

    • Like/Love/Wow posts on all social media as soon as posted in the morning and throughout the day

    • Setup notifications for any updates on these social media platforms

    2. Email management

    • Manage and escalate emails

    • Upload contact to Active Campaign (Mailing List)

    • Advise of books sold and update Active Campaign

    3. Perform administrative tasks

    4. LinkedIn Support

    • Right before sending Note to connect, get the Name and Location of the person put in the LinkedIn Tracker (different tabs for different sources e.g. Preview, New Connections, Old Connections)

    • Locations like Brisbane, Sydney, Adelaide, Darwin, copy details to a separate file for each location saved in a specific folder

    • For that accepted note to connect, e.g. if Perth copy the name onto the current Perth attendance sheet to invite. Once invited and successful, add to the attendance sheet under a specific folder. If it is a NO, note ‘for future event’ or date of the next event. For both cases, Yes or No, take note on the LinkedIn tracker the result.

    5. Support Ambitious Leaders Network Events – Max 10 a year. This event is done online from 6.00pm to 9.30pm Melbourne time

    • Preparation starts at 5.00 PM

    • Feedback to team who are not going

    • Attendance/Potentials

    • Votes

    • Set up Text Magic

    6. Support Trainings Scheduled on Saturdays and Sundays – as scheduled

    • Starts at 8.00am to 2.00pm or 8.00am to 6.00pm

    • Provide Administration Support

    • Documentation

    7. Event Administration – Eventbrite & Meetup

    • Create/draft Ads

    • Upload promo ad pictures and request for new promo ad pics

    • Close and Publish next, add guests and create Bitly link

    • Meetup Email – ‘days to go’

    • Celebrate Your Success/Ambitious Leaders Network different templates

    8. Update Website

    • Update Website from Now Showing to Hall of Fame

    • Move current event down the page and next on top

    • Update the Guest Speakers awards- tick the box

    • Update forms by change dates for next events

    9. Update Clickfunnels (modify dates and edit all pages on Click Funnels)

    10. Manage Event Attendees

    • Monitoring, updating and adjusting spots

    • Create and handle potential Half Day list

    • Name tags

    • Email or send personal message to attendees to confirm attendance and get other details such as Phone or Email address

    • Confirm attendance of members through FB messenger

    • Speech Title and Biographies

    • Timetable

    11. Manage During/Post Event – Text Magic Evening of Event and days following

    • Upload list or contacts

    • Schedule and send Text

    • Register to ZOOM

    • Send follow text message to those who have not responded

    • Advise final names that have not been responded to text

    • Send update on table and attendance files for each training date

    • Get the numbers ready and coordinate with other team members for them to call

    12. Text Magic

    • Send out texts – month to go, 2 weeks, week to go, 2 days to go, day of training

    13. Meeting Preparation

    • Email draft for the offer to be checked by client what is required

    • Agreements ready for offer

    • Chat Session Document

    • Arrange email drafts with offer and agreement and Chat Session documents per chat schedule

    • Draft Congratulations email

    • Draft Baseline Email and post Baseline email

    • Add the participants to the attendance file

    14. PowerPoint presentation

    • Edit

    • Upload pics

    • Look for images per instruction

    • Insert slides from guest speakers

    • Other tasks as required

    Must Haves:

    At least two years of work experience in administration, virtual assistance, project management or relevant role

    Strong English communication skills - both written and verbal

    Technology savvy and knowledge in MS Office tools such as MS Word & MS Powerpoint

    Strong attention detail and sound problem solver

    Highly organized and has a good memory

    Must be able work in fast paced, demanding and high pressure environment:

    Nice to Haves:

    Experience using the following tools: ZOOM, Eventbrite, Meetup, Wordpress, ClickFunnels and Active Campaign

    Home Office Requirements:

    • Stable internet connection of at least 5 MBPS

    • Up to date computer system with a minimum of Windows 8 or Mac OS X

    • Quiet room with no distractions or background noises
