  • Qualifications

    Bachelor’s degree.

    2+ years of hands on administrative support experience.

    Proficient in Microsoft Office and Dropbox.

    Ability to write, speak and interact clearly and professionally.

    Ability to manage multiple tasks and achieve deadlines under pressure.

    Experience in a human resources department a plus.

    Be willing to learn about new solar technologies and comply with HSSI policies.

    Position Responsibilities

    The Admin coordinator is responsible for providing solar hub staff members with marketing materials, codifying all the barangay profile and market update information into the HSSI database, preparing field materials for the staff, updating price lists based on head office information, and updating inventory levels to support sales and after-sales activities.

    The Admin is also in charge of gathering key information from the solaristas to develop sales forecasts and to track user feedback and client information.

    All of which will be packaged into solar hub reports that will be sent to the head office to effectively monitor solar hub performance and to plan procurement, inventory, financing, and logistics.

    Sales forecasts and client information will also be used to set weekly sales quotas and plan logistics. In the interest of nurturing long term partnerships with communities, the admin is responsible for maintaining and regularly updating a database of key partners and clients.

    More specifically, the admin will lead the following activities:

    Field Support

    Assist the Area Manager in the budgeting process of the solar hub, ensure timely fund request from Head Office, Facilitate fund disbursement, track field expenses, and enforce financial control systems;

    Digitize barangay profiles from the Solaristas to develop market updates and prioritize sales/maintenance routes.

    Track and follow-up the progression of each sales and its status from sales forecast to shipping and providing timely feedback to the area manager and solaristas.

    Update, print, package, and upload marketing materials such as product flyers, presentations, price list, and stock levels needed for marketing.

    Maintain a comprehensive database of partners and clients, regularly updating information on their contact details, orders, purchases, program directions, needs and other relevant information, and providing feedback and reminders to area manager on partner status or issues.

    Provide updated tools and templates for solar user forums (SUFs) and gather SUF results for consolidation and analysis.

    Information Management and Reporting

    Consolidate Sales Activities from the Solaristas to facilitate development of sales forecast and sales quotations.

    Consolidate repair activities from technicians to fulfill warranty claims and track space parts inventory;

    Assist the area manager in preparing management reports, with focus on sales, sales forecast, warranty issues, partner needs, user feedback, and product deployment.

    Assist Area Manager and Solaristas in gathering and consolidating information on the performance of key partners with focus on sales, inventory levels, customer service, and business model strengthening.

    Develop, maintain and manage information repository sites (e.g. Dropbox, Google Drive, Google Docs) to provide relevant information to solaristas, technicians and area manager with due attention to ensuring back up files and archiving dated files.
