  • The Administrative Support Specialist is responsible in determining the nature of each incoming call in the first instance and action appropriately to ensure the smooth operation of each clinic and the same time would be responsible in performing administration tasks, which includes scanning data, saving the right document on patient’s profile, accounting. Tasks also include answering, screening and following up on the administration of phone calls relating to urgent medical matters.

    Responsibilities:

    •Answer telephone promptly and in a polite and professional manner

    •Schedule appointment correctly

    •Obtain and enter accurate demographic information into appointment booking system

    •Accounting related tasks

    •Support organisational changes

    •Managing the administration of a virtual consultation application.

    Skills and Qualifications:

    •Candidate must possess at least a Vocational Diploma /Short Course Certificate, Bachelor’s degree in Medical Science, Nursing or equivalent

    •At least 1-2 years of experience in the related field is required for this role

    •Ability to handle confidential and sensitive information

    •Ability to work independently with minimal supervision as well as with the broader team

    •Basic problem-solving skills

    •Ability to demonstrate good customer service

    •Ability to relate to persons with diverse education, socioeconomic and ethnic backgrounds

    •Previous experience in customer service role.

    •Follow communication scripts when handling different topics

    •Manage large amounts of inbound and outbound calls in a timely manner

    •Excellent data entry skills with more than 90% accuracy rate

    •High level of computer proficiency with attention to detail and accuracy, particularly using word processing, spreadsheet and database applications

    •Basic understanding and ability to carry our rudimentary accounting and finance related tasks.
