  • Job Description

    • Work closely and effectively with members of the senior leadership to manage their calendar, send meeting invites to participants, and arrange on-site and off-site meetings

    • Maintain multiple calendars; plan, schedule and coordinate virtual meetings, travel, onsite/offsite meetings; process payments and expense reports

    • Plan meeting logistics, such as securing space, ordering meals, and obtaining materials and equipment.

    • Prepare the leader for meetings, including but not limited to the provision of agendas, directions and lists of attendees, and transcription and distribution of minutes.

    • Provide clear communication, excellent customer service, and demonstrate competence to maintain credibility, trust and support with all stakeholders.

    • Research, prioritize, and follow up on incoming inquiries.

    • Determine an appropriate course of action, referral, or response.

    • Decisions regarding calendar priorities to reduce conflicts and accommodate high priority commitments.

    • Address problems and develop practical, thorough, and creative solutions without relying on precedent or supervisory review.

    • Prioritize business needs; handle matters expeditiously, proactively, and follow through on projects to successful completion, often with definite deadlines.

    • Able to create complex, innovative and creative presentation-quality documents.

    • Manage special events and projects, which may include coordinating gifts to team members around the globe in a remote-first environment.

    • Other duties as assigned.

    Must Haves:

    • At least 5 years of administrative support experience with a minimum of 2 or more years demonstrated success providing support to an executive, higher-level manager, or other senior leaders.

    • Prior experience in an administrative role working within a high-growth tech organization is preferred.

    • Exercise judgment and discretion with sensitive/confidential and proprietary information.

    • Professional, confidential, honest, and reliable.

    • Highly organized, detail-oriented, and have the ability to take initiative in order to work competently and efficiently in a multi-task environment.

    • Proficient with Google Suite. You have advanced expertise with Excel, Word, and PowerPoint. You can master new software applications and technologies.

    • Strong English speaking and writing skills, the proven ability to accurately proofread, edit reports and write basic correspondence with an eye for the overall needs of a large development operation.

    • Excellent word processing and accurate keyboarding skills.

    • Knowledgeable in a variety of office procedures, including purchase orders, invoices, vendor selection, grants, requisitions, check requests, expense reports, mailings, filing, and related paperwork.

    Home Office Requirements:
