    Duties and Responsibilities:

    • Provide direct assistance and support with high degree of independence and anticipate the requirements of the Australian Country Manager.

    • Interact with company staff (at all levels) in a fast paced, high pressure and proactive environment.

    • Assist Australian Country Manager with team follow up in a proactive manner, suggesting follow up and coordinating with internal staff for responses.

    • Show a high level of professionalism and confidentiality in carrying out the duties and responsibilities.

    • Monitor, book and confirm flight / travel schedules and accommodation. Calendar updated with copies of all relevant information, confirmations, check in and travel time allocated in diary.

    • Account and monitor expenses.

    • Prioritise, supervise and manage a variety of complex executive and management committee meetings, conferences, special events, functions and projects.

    • Prepare and distribute agenda, accurate note taking and distributing minutes and associated reference material as required.

    • Follow up with Senior Managers on actions and updates.

    • Organise and manage calendar invites requiring interaction with both internal and external parties.

    • Handle incoming and outgoing communications (including electronic mails) as requested.

    • Review miscellaneous reports and documents submitted by company departments or personnel prior to submission, to include preparation of background / supporting documents as necessary.

    • Schedule performance reviews of Australian Country Manager’s direct reports in consultation with HR.

    • Maintain and updates highly confidential company files and databases.

    • Maintain awareness of emerging issues requiring the Australian Country Manager’s attention or decision and utilise judgement to action appropriately.

    • Does follow through on issues and tasks in a timely manner.

    • Coordinate comments and responses for correspondence and ensuring the efficient and timely dissemination of information across the organisation including managing files and records in an accurate and timely manner.

    • Meet deadlines set and where deadlines can not be met advises ASAP.

    • Assist the Sales function of the business by providing administration support and reporting using CRM. Reports delivered on time with accuracy.

    • Cover Sales Support tasks when on leave; reporting and sales support for BDMs and other sales team members.

    • Other sales administration duties as required to support the Australian Country Manager such as research, sales meeting follow up, contract follow up and document filing.

    • Provide a sound example to administration staff.

    • Other administration duties as required to support the Australian Country Manager.

    Qualifications and Experience:

    • Degree in Human Resources, Psychology or other Business Courses.

    • 5 years of experience in the same field.

    • Previous experience working with a multicultural company is an advantage.

    • Must be highly analytical and detail-oriented.

    • With excellent English communication skills both oral and written.

    • Extensive organization, time management and follow up skills.

    • High level of proficiency in Word, Powerpoint, Excel and Google Apps.

    • Systematic and with strong work ethic.

    • Can undertake wide variety of tasks with tight deadlines and fast paced environment

    • Must be a team player and self-motivated professional.

    • Excellent interpersonal skills

    • Trustworthy, honest and discreet

    • Must be willing to work in Clark

    • Must be willing to travel

    • Must be willing to render overtime as needed to complete tasks
