  • We are looking for a competent Executive Assistant/Secretary. Provides direct support to the daily routines and tasks of the Company President/GM. This position provides a supportive role to other managers and promotes a professional tone for the Company.

    DISTINGUISHING CHARACTERISTICS

    Strong admin & interpersonal/public relation skills

    Strong communication, organization and time management skills and the ability to keep others on track with the Agenda of the President/GM

    Ability to work independently, utilize sound judgement and common sense, and act without guidance are essential.

    Leadership, problem-solving and conflict resolution skills are essential for this position with the goal of exceptional company performance.

    The Executive Assistant is capable of handling multiple tasks and may contain specialized skillsets like purchasing, general office administration, marketing but is also a generalist capable of adapting to other areas as required.

    The Executive Assistant is capable of working at a critical pace when necessary to get the job done.

    EXAMPLES OF ESSENTIAL DUTIES

    Managing the calendar of the President/GM and ensuring his daily and project priorities are followed and accomplished in a timely and accurate manner.

    Directly oversees the flow of information disseminated from the Office of the President/GM to its managers, employee, clients and external contacts.

    Provides an administrative support role to other managers and oversees the Company’s inventory and internal tracking processes.

    Provides skilled support in the resolution of internal and external conflicts

    Oversees the Company’s record management and the retention/protection of its records

    Assists with Company’s procurement process which includes bidding, vendor selection and negotiation

    Provides essential support as the Company’s image consultant and oversee the maintenance of the Company’s website, automation of processes, and publications

    Monitor and maintain the Company’s insurance records, contracts/agreements and maintenance & renewal schedule of vehicles

    Provides higher level administrative support required for the creation of contracts, policies, procedures, memorandums, external letters, and meeting minutes

    Oversees and enforces company policies and working procedures to ensure accountability and efficiency. The Executive Assistant will be involved in the development of polices & procedures that lead to the success of the Company’s primary goals
