  • Internal Secretarial Duties:

    1.Take and transcribe minutes of the morning briefing and send through email in a timely manner.

    2.Prepare monthly summary reports. Ensuring that all Departments will submit on time.

    3.Compose memos as deem required by the Executive Office Manager.

    4.Accept incoming calls intended for the Executive Office – Assistant General Manager and General Manager and relay message in a timely manner.

    5.Prepares and coordinates, mails and express packages as deemed required by the Executive Office – Executive Office Manager, Assistant General Manager and the General Manager.

    6.Provides full range support including assistance in scheduling of meetings and coordinate facilities needed during the meeting to concern department.

    7.Ensure the availability of the Conference Room prior confirmation to requesting department.

    8.Prepares office supplies thru Eatec. Ensure to monitor the par stock of Office supplies for on time replenishment.

    9.Daily Consolidation of MTD/YTD Revenue reports.

    10.Monitor, and ensure that all significant incoming and outgoing documents must release as required.

    11.Performs other duties assigned by immediate superior from time to time.

    External Secretarial Duties:

    1.Oversee, monitor and coordinate to respective Department head for those Expatriates for hiring.

    2.Ensures that the passport is turned-over in a timely manner.

    3.Check the expiration on the Travel Visa stamped in the passport in order to determine the timeline in processing the Subic-Clark Working VISA (SCWV) or any other type of Visa and it should not exceed within the duration of stay as a tourist.

    4.Prepare the documents of an Expatriate based on the Clark Development Corporation (CDC), Department of Labor and Employment (DOLE) and Bureau of Immigration (BI) requirements.

    5.Ensures the proper coordination with the Expatriate in submitting 8pcs of 2x2 pictures white background and must be wearing polo shirt for male and for female a formal blouse with collar.

    6.Ensures the Employment of Contract must consist of date hired both for the New and renewal applicants and with notarial zeal including the Affidavit of Support and Guarantee prior to the submission to CDC-Customer Service Section.

    7.Ensures in securing the Tax Income Number(TIN) of an Expatriate. A BIR Form 1902 must be filled-up properly and to be signed by EOM. In requesting TIN, Expatriate copy of his/her passport info page and notarized Employment of Contract must also be submitted at the Bureau of Internal Revenue Office.

    8.Ensures the proper coordination to the Department Head for the Interview schedule of an Expatriate. Remind the Coordinator of the Expatriate to be in proper attire prior to interview. There must be an interpreter during Interview.

    9.Coordinates and Constant follow-up to CDC-Customer Service Section after interview for the Letter of Endorsement to be forwarded to Department of Labor and Employment(DOLE).

    10.Ensures in submitting the photocopy of AEP Card to CDC-Customer Service Section. A constant follow-up shall be done for the letter of endorsement addressed to Bureau of Immigration, however, prior to the submission, it should be notarized at CDC-Legal Department.

    11.Ensures the completeness of the requirements in submitting to Bureau of Immigration., i.e. Passport, AEP Card, Letter of Endorsement.

    12.Coordinates with Bureau of Immigration Officer the schedule of the ACRI Card Capture of an Expatriate prior to personal appearance at the said Office.

    13.For releasing of passport or ACR-Card; it must be docketed in a logbook and there must be a photocopy to be signed by the recipient and file in the corresponding personnel folder of the said Expatriate.

    14.Prepare documents of Expat employees for SCWV processing.
