  • Responsibilities:

    1. Communicates with the general staff on the President/CEO’s behalf and coordinates logistics with high-level meetings, both internally and externally.

    2. Organizes meetings, including but not limited to, contacts participants, prepares documentation for distribution and coordinates administrative and logistical arrangements.

    3. Drafts reports, letters, proposals; prepares and coordinates oral and written communication with partners, clients, prospects, and suppliers.

    4. Research certain subjects whenever required.

    5. Liaise with suppliers and clients for meetings, presentations, and follow up requirements.

    6. Serves as the President’s administrative liaison to the Board of Directors and manages Board activities, including coordinating Board meetings.

    7. Arranging hotel accommodations for out-of-town travels; processing travel reimbursement requests; and compiling, assembling, and distributing meeting materials.

    8. Coordinates Executive, Finance, HR, Management, and member of staff meetings; maintains confidential files and contact information; coordinates meetings, conferences, and committees on and off-site to support the President’s agenda.

    9. Maintains Board portal (Directors Desk).

    10. Records and prepares minutes of Pres./CEO’s meetings.

    11. Participates as an adjunct member of the management, including assisting in scheduling, attending meetings. Represents the President in designated meetings as required.

    12. Assist in coordinating the agenda of senior management team meetings. Prepares an account of the meetings and designates and follows up on assigned action items.

    13. Develop itineraries and agendas, including scheduling flights, arranging other transportation, and book accommodations.

    14. Maintains a calendar of meetings, accepting or declining commitments and prioritizing requests.

    Requirements:

    1. At least 10 years experience as executive secretary to a top management officer or related experience.

    2. Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.

    3. Strong interpersonal skills and the ability to build relationships with stakeholders, including staff, board members, external partners, clients and suppliers.

    4. Proficiency in iOS, including MS Word, EXCEL and PowerPoint; and other data management systems.

    5. Fantastic organizational skills and detail oriented.

    6. Ability to work under pressure and meet deadlines.

    7. Excellent verbal and written communication skills.

    8. Excellent management, time-management, and problem-solving skills.
