    Description


  • The position is responsible in assisting law firms with various administrative and secretarial duties. Some ad-hoc support tasks related to client communications and relations such as but not limited to appointment setting, attending to non-case inquiry, compiling documents and/or encoding client information to the system.

    The position will also be assisting lawyers/solicitors in transcription services.

    Core Responsibilities include:
    1. Assist in preparation and typing of documents needed by the lawyers or law firm;
    2. Appointment Setting and Calendar Management;
    3. Encoding information to Legal Management Software, if any;
    4. Assist lawyers in interviewing clients either on the phone or in-person prior to referring them to their lawyers;
    5. Organize files and ensure all documents are properly stored/kept;
    6. Assist in invoicing and following-up payment from clients;
    7. Transcribe audio, video or image file into a text or word format (transcription tasks);
    8. Other related administrative and clerical duties which may be assigned from time to time.

    Requirements:
    - Proven work experience preferably in virtual assistant/legal or paralegal assistant/legal secretary or other related capacity
    - Experience doing transcription services (audio, video or image to text transcription)
    - Excellent telephone handling skills

    Advantages:
    - Direct experience with reputable law firms with the same or equivalent capacity
    - Has background using Legal Management Software such as LEAP, PEXA, etc.
    - Knowledge or experience doing conveyancing work or administration work in property / real estate companies is a plus
    - Knowledgeable of legal citation rules, legal library systems, and various court systems’ rules and filing requirements

    General Qualifications:
    Associate or Graduate of any Business or Office Administration Course
    Excellent oral and written communication skills in English
    Typing speed of 40 to 60 WPM (minimum)
    Adept use of MS Office applications (Word, Excel, Powerpoint, Outlook)
    Computer literate and internet savvy
    Highly organized and has excellent administration skills
    Flexible, agile and has exceptional time management skills
    Can work with minimal supervision
