Job Description
A. Purpose and Scope:
1. Supervises and monitors the daily mall operations in his/her specific mall assignment.
2. Ensures that all Mall Operations initiatives and processes are effective, efficient and aligned with the established policies, targets, regulatory requirements and overall business objectives of Ayala Malls Group.
3. Ensures the smooth and seamless functioning of the mall; facilitates good and sustainable environment for merchants’ business activities as well as provides pleasant customer experience to his/her mall patrons.
4. Ensures that all Mall Operations personnel comply with the policies, procedures, rules and regulations of Ayala Malls Group all the time.
B. Essential Duties and Responsibilities:
1. Strategic Management and Direction
o Assists the Operations Manager or General Manager in the formulation, planning, monitoring and evaluation of the overall/top-line objectives, goals, strategies, measures and initiatives of his/her specific mall assignment.
o Assists the Operations Manager or General Manager in the management, communication and alignment of strategic direction and objectives in his/her specific mall assignment.
2. Application of Skills and Capabilities
o Supervises the daily management of the following operations related functions and processes in his/her specific mall assignment.
a. Mall Operations
b. Allied Businesses (Entertainment, Parking, Parking Terminals)
c. Housekeeping and Landscaping
d. Safety, Security and Sustainability Initiatives
o Evaluates and analyzes operations statistics, trends and reports to identify causes of problems and develops sound recommendations for improvement of policies and processes.
o Conducts daily mall inspections to ensure the compliance of merchants, customers and sub-units in the established mall operating systems and procedures.
o Supervises the implementation of cost savings initiatives and sustainability projects in his/her specific mall building assignment.
o Supervises the evaluation and analysis of statistical data and reports to identify causes of operations related problems and develops sound recommendations for improvement of policies and processes.
o Assists in the identification & communication to Management of any Health & Safety risk related to the Mall building that may affect employees, merchants, contractors, mall patrons & the general public.
o Implements the maintenance of high-quality property standards through daily checks and periodic preventive maintenance (i.e. cleanliness, AC level, lighting, assets & equipment) and security control for mall premises incl. parking, service areas, toilets and other common areas.
o Assists in the effective handling of all conflicts and dispute situations amongst merchants, customers, mall visitors with help of security, in a smooth manner avoiding any disruption to mall operations.
o Assists in the monitoring of complete manning requirement and ensure that all sections and areas are covered.
o Supports the General Manager or Operations Manager in overseeing the implementation of all cost savings and sustainability projects as well as improve efficiencies in all operational areas of a specific section/building in his/her mall assignment.
o Ensures that all regulatory and mandatory permits, licenses and registrations are updated and filed without penalties.
3. Supervision
o Performs coaching, mentoring and development of subordinates (Operations Specialists, Senior Associates)
o Oversees and ensures that all new hires of his/her department undergo on-boarding programs and orientations.
o Provides and supports career development planning and opportunities of his/her subordinates.
o Conducts meaningful and timely performance management and development process for his/her subordinates that will encourage employee contribution and collaboration including goal setting, feedback and performance development planning.
o Provides effective and timely performance feedback through employee recognition, rewards and disciplinary action.
o Imparts his/her inputs and other requirements needed in the department.
o Trains, develops and motivates his/her staff to ensure effectiveness, efficiency and high performance in the Company.
o Delegates the responsibility, authority or data gathering/processing to the most appropriate or qualified member of the team.
4. Building Integrity & Credibility/ Positive Image Enhancement
o Serves as a link between Executive Management, potential business partners, government representatives, Merchants and customers by handling clarifications, questions, interpreting policies and procedures to help resolve operations-related problems and issues.
5. Performs other management mandated functions.

Qualifications:
• Graduate of BS Business Administration, Engineering or any business/technical related course
• Minimum of two (2) years of related work experience in Operations Management in retail and property management industries
• Proficient in the use of MS Office applications specifically MS Word, Powerpoint, MS Excel and MS Visio as well as other specialized softwares like SAP or Oracle
• Above Average level of oral and written communication skills including negotiation, presentation, facilitation and training all levels of the organization
• Can deal and handle complex problems and tasks involving new or constantly changing problems or situations
• With average level of project management, planning, people management and leadership
• With average level of understanding of the mutual interconnection of financial and business of the organization
• With strategic, result/data driven, process orientation and risk-based approach mindset

Requirements

• Minimum education level: Bachelor´s Degree
• 2 years of experience
• Language(s): English
