    Duties and Responsibilities:

    • Receive applications from prospective clients and verify if requirements are complete

    • Communicate with tenancy applicants and provided references

    • Screen prospective tenants in databases

    • Send SMS/Email in the first week for rent arrears

    • With PM instruction, issue Breach Notice (through Console) and diarise to follow up

    • Send out letter of intention to tenants (through Console Workflow), draft lease renewal

    • Draft MA renewals to existing owners, prep them for PM to send to owner

    • With PM instruction, send Rent Increase notice to tenant and update on Console.

    • Process Invoices

    • Schedule routine inspections and provide advisory of inspection plan

    • Receive repair and maintenance requests

    • Liaise or make follow ups with tradespeople or vendors

    • Identify tenants with approaching end of contract

    • Ensure communications are all responded on a timely manner

    • Daily coordination of completed tasks with property manager

    Qualifications and Experience:

    • Minimum of 1 year experience working as a Property Management Assistant in a Real Estate office in Western Australia

    • Experience in working as a Virtual Assistant (either solely or part of a team)

    • Experience in using Console or other cloud based Property Management Software

    • Skilled in using Microsoft Office, Google Suite, and Customer relationship management (CRM) software

    • Strong written and verbal English communication skills

    • Ability to achieve deadlines and show good attention to detail

    • Ability to adapt and prioritize across multiple tasks and unexpected situations

    • Ability to adapt to new software and administrative tasks effectively

    • Ability to handle corrections and have self-responsibility

    • Ability to manage time and prioritize workload according to business requirements
