    Duties and Responsibilities:



    • Ensure all customer requests are dealt with promptly and in a courteous and professional manner

    • Answer telephone in the prescribed manner

    • Process customer orders and quotes promptly using the correct procedures.

    • Obtain purchase order numbers from customers and ensure they are included on the invoice.

    • Maintain customer online orders and backorders

    • Implement and uphold the usual trading terms of the company. Ascertain client credit account status before generating invoice

    • Establish clients preferred method of despatch and include these details on the invoice

    • Correct if within limits of your authority any service level issue which could adversely affect our customers relationship and satisfaction. Notify management of any service issue which is outside limits of authority to rectify

    • Ensure that the correct procedures for handling cash, cheques, credit cards, EFTPOS and credit accounts are always followed

    • Maintain the personal computer and own work area in a clean and tidy condition

    • Ensure customers are kept informed of the status of outstanding orders

    • Ensure warehouse staff and drivers are aware of any customer special requirements

    • Pick parts from stock when required to expedite customer service

    • Ensure customer requests for pickup of credit returns are conveyed promptly to warehouse supervisor

    • Book in, maintain and follow up credit collection reports and procedures

    • Actively promote the company via the phone and face to face contact

    • Participate in training courses as required. Assist with the training of other staff when required and approved by management

    • Ensure that company key messages are conveyed and maintained

    • Maintain good working relationships with other staff

    • Participate in stock takes as required

    • Not to exceed limits of authority

    • Follow all instructions and procedures

    • Complete data entry tasks when required including customer maintenance

    • Carry out general office tasks including photocopying, typing of letters and memos and other tasks as required

    Qualifications and Experience:

    • Experience in Administration Support

    • Experience in processing orders

    • Has knowledge or understanding in automotive industry/car parts

    • Proficient in MS Office and Google Apps

    • Knowledge and/or willingness to learn any CRM

    • High attention to detail

    • Computer savvy

    • Logical thinker

    • Excellent time management and organisational skills

    • Ability to work independently and as part of a team
