• Position Title: Sales Representative

    III. Organizational Relationships

    A. Report

    • Reports to the Sales Supervisor / Sales Coordinator regarding sales transactions.

    B. Coordinate

    • Coordinates with the Warehouse Department regarding the stocks availability.

    • Coordinates with the Accounting Department regarding customer credit terms and collections.

    • Coordinates with the Marketing Department regarding pricing and discounting, verification of stocks, and placing orders.

    • Coordinates with the dispatching coordinator for the delivery and items for pick-up.

    IV. Summary of Primary Functions

    Attending the needs of customers; this includes the following procedures:

    A. Taking down customers’ orders.

    B. Encoding and furnishing printouts of requisition to concerned stocks controllers.

    C. For some cases when items ordered are not available, coordinate with the Purchasing Department.

    D. Preparing Sales Order (SO).

    E. For customer’s credit line, coordinate to the Credit & Collections officer for verification. For customer’s applying for such terms, they will be subjected for investigation by the Accounting Officer. The recommendation by the latter will be for the President/Chief Operating Officer (COO), approval.

    F. No salesmen will leave any customer until full transaction is completed- computer entries, requisitions, receipts, verification of stocks, and the final turnover of the purchased items to the customer. Only then will the concerned salesmen may entertain new customers, punch out for break or perform other task related to his duties and responsibilities.

    V. Subsidiary Functions

    A. Answering telephone inquiries.

    B. Making their spare time productive by planning for more sales

    C. Arranging and cleaning displays.

    D. Memorizing price list and discounting methods.

    E. Familiarizing different product lines HBC is carrying

    F. Perform other duties as assigned by the higher authority.

    V. Significant Occupational Concerns

    A. Delayed deliveries to customers.

    B. Stocks losses or breakages

    C. Monitoring display items

    D. Accomplishment of returned items (C/M) Properly


    1. Knowledge, Skills & Abilities

    1. Ability to communicate with customers.

    2. Ability to read, count and write accurately to complete all documentation.

    3. Readable penmanship.

    4. Basic mathematical skills.

    5. Good oral and written communication skills

    2. Education

    1. College Graduate

    3. Experience

    1. At least 1 year of related working experience, an advantage.

    4. Personality / Attributes

    1. Can relate harmoniously with a variety of people

    2. Can work under pressure.

    . Highly customer service oriented.

    4. Ability to work varied hours/days including nights, weekends, and holidays, as needed
