Job Overview
Our clients are super busy and have a lot of things on their plates. They are primarily Australian-based professionals who are trying to juggle the demands of busy careers while keeping together all the other aspects of their lives – whether that be getting a haircut, organizing dinner with friends, or even researching and booking their next holiday. They simply don’t have enough hours in the day – which is where you come in!
Our clients have placed their trust in us to manage a few major parts of their lives that they simply don’t have time to manage themselves. Specifically, you will be accountable for coordinating:
1. Personal Bookings: End-to-end coordination of client bookings for hairdressers, beauticians, doctors, restaurants, etc.
2. Travel: End-to-end coordination of clients' travel plans including destination research, booking airfares, accommodation, transfers, etc.
3. Household Services: End-to-end coordination of household services such as cleaners, gardeners, tradespeople, etc.
The idea is that you become the glue that holds our clients’ lives together. They don’t have to worry about these things as they know you are on top of them. You give them the gift of time back in their busy schedules.
Roles and Responsibilities:
Client Relationships
- Be available for your clients around the clock via phone, email, or text
- Respond quickly and efficiently when they contact you for help
- Get to know your clients on a deep level, continually capturing and updating their preferences
- Establish rhythms to keep in touch with your clients – which channel they prefer and how often they want to communicate
- Proactively reach out to clients who haven’t asked for your help and find out what you can do to help them
Personal Bookings
- Proactively finding out your clients' usual hangouts, how often they go, and other important information
- Creating, confirming, modifying, and canceling bookings for:
- Hairdressers / Barbers
- Beauty / Personal Services
- Restaurants / Cafes o Doctors, Dentists & Medical Consults
- Make sure these bookings are made at times that are suitable for your clients and in line with their preferences
- Make sure your clients have suitable transportation/parking options for the relevant bookings
Travel
- Proactively finding out your client's travel preferences including any upcoming potential trips that need your help
- Researching holidays for your clients within the parameters they provide and making suggestions on what - to book
- Creating, confirming, modifying and canceling bookings for Domestic & International:
Airfares o Accommodation
- Transportation
- Visas / Permits
- Local Activities
- Keeping up to date with special offers, sales, and other interesting value-add items that may be of interest to your clients
- Maintaining clients' Frequent Traveller Accounts, always looking for how to optimize these on trips (both earning and redeeming)
Household Services
- Proactively finding out what household services your clients utilize (or wish to utilize) and begin managing these for them
- Manage the scheduling, communication, and logistics for your clients' household services including:
- Cleaners
- Gardeners
- Pool Maintenance
- Pest Controllers
- Handymen
- Electricians
- Plumbers
- Ensure that these services are booked at times that are convenient to your client and that logistics are organized (keys etc)
Follow up to make sure that services have been done to clients' satisfaction and deliver feedback to service providers
Minimum Qualifications
- High school graduate (minimum)
A Successful Candidate must have
- More than 3 years of professional experience (Personal / Executive Assistant experience highly regarded)
- Understanding of Australian culture, geography, etc
- Ability to manage multiple conflicting demands/priorities
- Ability to read between the lines
- Technical skills
